Aging Analysis

What is Aging Analysis?

Aging analysis refers to the process of categorizing outstanding balances, typically accounts receivable (AR) or accounts payable (AP), based on how long they have remained unpaid. In this context, "aging" refers to the age of a receivable or payable, which is the time passed since the invoice was issued or received.

An aging report is a financial report that groups outstanding receivables or payables into time-based categories such as: 0-30 days, 31-60 days, 61-90 days, or over 90 days. This structured view allows businesses to quickly assess which invoices are overdue, estimate bad debts, and monitor cash flow.

Why Conduct Aging Analysis?

In accounts receivable, aging analysis is used to identify overdue invoices, prioritize collections and follow-up efforts, assess credit risk, estimate bad debts, and monitor cash flow health, as this impacts business liquidity. A well-managed aging report ensures that receivables are collected efficiently and on time.

In accounts payable, aging analysis helps track upcoming and overdue payments to avoid missing due dates and incurring late fees. It helps businesses plan cash outflows in advance and schedule payments based on priority. By ensuring timely payments to suppliers, businesses can maintain better vendor relationships.

Aging Analysis in Financial Systems

Aging analysis is a key function within ERP and accounting systems. These systems enable:

  • Automatic generation of aging reports from invoice data
  • Real-time updates as payments are recorded
  • Integration with customer and vendor records
  • Data-driven insights for finance teams
  • This ensures that aging analysis is always accurate, up-to-date, and actionable.
