PSI (Purchase, Sales, and Inventory Management)

PSI (Purchase, Sales, and Inventory Management)

What is PSI?

PSI stands for Purchase, Sales, and Inventory management, the three foundational operational functions that keep a business running smoothly. Together, these functions cover the lifecycle of products from procurement and storage to sales and delivery. A PSI system helps unify these tasks, giving real-time visibility into stock levels, order statuses, and financial commitments.

PSI: The Three Core Operational Divisions of a Business

The three core functions under PSI are:

  • Purchase— Managing procurement activities such as purchase requisitions, purchase orders, and vendor records.
  • Sales— Handling customer orders and sales documentation, including sales orders and shipping notes.
  • Inventory— Tracking stock quantities, movements, and balances across locations
  • These functions are closely interconnected: sales reduce inventory, purchases increase inventory, and inventory levels influence both purchasing decisions and sales fulfillment. A breakdown in one area can disrupt the other two, impacting cash flow and business operations.

    Why PSI Matters?

Managing purchasing, sales, and inventory together improves cash flow visibility, reduces stockout and overstocks, minimizes manual errors, enhances customer satisfaction with better fulfillment, and supports strategic planning with real-time data. Effective PSI processes give businesses better operational control and support growth with structured workflows and accurate data.

    PSI in Information Systems

PSI becomes significantly more powerful when supported by a database or information system. Digital PSI systems automate workflows (eg. matching purchase orders to inventory and sales orders) and enforce consistency across functions. PSI systems typically include the following functions:

  • Linked customer and vendor records
  • Automated stock updates after sales and purchase transactions
  • Inventory alerts for low stock
  • Workflow status tracking
  • Real-time inventory location and status tracking
  • Dynamic dashboards and reports
  • Systems like Ragic's PSI templates provide configurable sheets for purchasing, sales, and inventory workflows that support automations and data relationships.
